This Privacy Policy explains how DocVert collects, uses, and shares information when you use our website, dashboard, and API (the “Service”).

1. Summary
- We process the files you upload to perform the conversion you request and then make the output available for download.
- We store files for a limited time based on your plan and then delete them from primary storage.
- We use usage logs to prevent abuse and keep the Service reliable. We may also use analytics and advertising features if enabled.
2. Information we collect
The information we collect depends on how you use the Service (for example, anonymous usage versus creating an account).
A. Information you provide
- Account information: email address, password (stored as a hash), and optional profile details like name and locale.
- Billing information: subscription status and identifiers associated with your payment method. Payment card details are handled by our payment processor (for example, Stripe) and are not stored on DocVert servers.
- Support communications: the information you include when you contact us (for example, emails to support and any files you choose to share with us for troubleshooting).
B. Files and job data
- Uploaded files and output files generated by the Service.
- Conversion settings and metadata required to run a job (for example, selected tool, parameters, and file type/size metadata).
- Malware scan results for uploaded files to help protect the Service and our users.
C. Usage, device, and log data
- Usage and diagnostics: pages visited, feature usage, job creation/processing events, error logs, and performance data.
- Device and connection information: IP address, user agent, and similar information typically provided by browsers and API clients.
- Anonymous access tokens: if you use the Service without an account, we may generate a random access token to allow you to check status and download results for your job.
3. How we use information
- Provide the Service: accept uploads, run conversions, and deliver results.
- Operate and secure the Service: malware scanning, abuse prevention, rate limiting, troubleshooting, and incident response.
- Manage accounts and billing: authentication, subscriptions, customer support, and communications about your account.
- Improve the Service: understand usage patterns, fix bugs, and improve performance (including through analytics when enabled).
- Comply with law: meet legal, regulatory, and contractual obligations.
6. File retention & deletion
DocVert is a conversion service, not a file storage product. We retain uploaded and generated files only for a limited time to support processing and download.

After the retention window expires, we delete associated file objects from primary storage and remove related database records as part of periodic cleanup. Deletion from backups (if any) may take longer.

7. Security
We use reasonable administrative, technical, and organizational measures designed to protect information. For example, data is transferred using encrypted connections (HTTPS/TLS), and uploaded files may be scanned for malware.
No system can be 100% secure. Please keep your download links, API keys, and account credentials confidential.
8. Your rights & choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing.
- Account settings: you can update certain profile information from your account settings.
- Analytics/ads controls: you can manage cookies in your browser and use third-party opt-outs where available.
- Data requests: email us and we’ll respond in accordance with applicable law.
EEA/UK legal bases (GDPR)
If you are located in the EEA or UK, we process personal information based on one or more of the following legal bases:
- Contract: to provide the Service you request.
